What personal information do you collect?
When you register for an account, you will need to provide the following information:

  • Contact name
  • Contact e-mail address
  • School name
  • Contact phone number (optional)

For each conference you attend, we also collect:

  • The names of all those attending (staff and pupils)
  • E-mail addresses of those who apply to be committee Chairs or part of the JCC
  • Confirmation that appropriate child protection checks have been carried out on visiting staff (this is not done through the website)

By entering the above information on our website, or e-mailing to us for upload, you are automatically giving consent for us to use the information as outlined below. When you enter attendees' names, you are automatically stating that you have their consent to provide us with that information.
Unlike all other information, e-mail addresses for thoese who apply for the JCC are not stored, only used to send applicants an automated e-mail with a copy of the application.

How can I see and upate the information you hold about me?
Each school has login details for our website, which can be used to view the data held about those from that school.
It is usually possible to edit all personal information through the website, although this feature is disabled for approximately two weeks before the conference each year - during this time it is only possible to update the contact name and e-mail address.
To ensure that the information we hold is up-to-date, you will be asked to update your contact details (or confirm that they are already correct) annually. If you wish to view or update your information, but cannot do so through the website, please contact us.

What will my personal information be used for?
Your data will be used for the administration of the Haileybury MUN conference. This includes using the contact details provided to issue invitations to conferences in subsequent years.
When you register for an account, or confirm your contact details are correct, you will have the opportunity to opt-in to receiving occasional e-mails with information about other MUN-related events and services.

Where will my personal information be stored?
All information entered through our website will be stored on MUNiverse's secure online server. At the appropriate stages in the conference-planning process, the information required will be downloaded, and circulated to those who require it via Google Drive and/or the school network drives.

Who will have access to my personal information?
Data will be accessible to only those Haileybury staff and pupils who need it for conference-planning purposes. The e-mail addresses of successful Chair applicants will be shared with the Head Chairs of their committees, to enable them to make contact regarding research reports.
As part of our collaboration with MUNiverse to provide our Approvals Panel system, they will have access to:

  • A list of all Delegates, including name, school and position at the conference
  • A list of all Chairs, including name, school and position at the conference

How long will you keep my personal information?
The majority of data provided will be deleted approximately six weeks after the end of the conference.
The exceptions to this are:

  • Contact details (contact name, school name, e-mail address and telephone number) will be retained for the purposes of issuing invitations to future Haileybury MUN conferences. This information will be deleted on request, or if the e-mail address is found to be invalid.
  • Names and schools of Committee Chairs, other Key Personnel and award winners, and a list of schools attending, will be kept in our archive.
  • Child protection information will be retained, as evidence that we are meeting our legal obligations in this area.

Do I have to provide the information you ask for?
In order to enable the smooth running of the conference, all those attending are required to provide the information requested, and consent to its use as detailed above. The exceptions to this are:

  • Provision of a contact telephone number during the registration stage is optional.
  • You may choose whether or not to opt in to receive occasional e-mails with information about other MUN-related events and services.

How can I be removed from your database?
If you have not requested any places at the next Haileybury MUN conference, you will be able to delete your account from within the registration area. This will completely remove you from our database, meaning that you will no longer receive invitations to our conference, and will have to create a new account if you wish to attend in the future.
You can also ask for your account to be deleted at any time by e-mailing mun@haileybury.com.

What are my rights regarding your processing of my data?
Any individual wishing to access or amend their personal data, or wishing it to be transferred to another person or organisation, or who has some other objection to how their personal data is used, should put their request in writing to the address below.
We will endeavour to respond to any such written requests as soon as is reasonably practicable and in any event within statutory time-limits, which is one month in the case of requests for access to information. We will be better able to respond quickly to smaller, targeted requests for information. If the request is manifestly excessive or similar to previous requests, we may ask you to reconsider or charge a proportionate fee, but only where Data Protection Law allows it.
